1. Who we are
Pleiades Commodity Brokers – FZCO (“Pleiades”, “we”, “us”, “our”) is a limited liability free zone company licensed by the Dubai Integrated Economic Zones Authority. We are the controller of the personal data described in this policy. We handle personal data in accordance with the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021) and, where it applies to you, the UK and EU General Data Protection Regulations.

2. What data we collect
We collect the information you choose to give us when you contact us or deal with us, which may include:

• your name, company name and job title
• your email address and telephone number
• the content of your enquiry and our correspondence with you
• business information you share so that we can make suitable introductions

We do not ask for sensitive personal data, and we ask that you do not send it to us.

3. How we use your data
We use your data to:

• respond to your enquiries
• understand your business needs and identify suitable introductions
• make introductions to other businesses, as described in section 4
• keep records of our correspondence and dealings
• meet our legal and regulatory obligations

We do not sell your personal data, and we do not use it for marketing without your consent.

4. Who we share it with
Our business is introducing commercial parties to each other. Where we introduce you to another party, we may share your business contact details and relevant business information with that party for that purpose. We do this only where you have asked us to make the introduction or have agreed to it.

We may also share data with service providers who support our systems (such as email, hosting and IT providers), with professional advisers, and with regulators or authorities where the law requires. These recipients may use the data only for the purposes we specify.

5. Our basis for using your data
We rely on:

• your consent, where you ask us to introduce you or agree to further contact
• our legitimate business interests, in responding to enquiries and operating our brokerage business
• legal obligations, where we must keep records or respond to authorities

6. International transfers
We are based in the UAE and work with parties in many countries, so your data may be processed or shared outside the UAE, including in countries whose data protection laws differ from the UAE’s. Where we transfer data, we do so only where permitted by law and with appropriate safeguards in place.

7. How long we keep it
We keep correspondence and enquiry data for five years, or longer where we need it to protect our legal rights or to evidence an introduction or commercial arrangement. After that it is securely deleted or anonymised.

8. Security
We store your data on password-protected systems and take reasonable technical and organisational measures to protect it. No online system is completely secure, so we cannot guarantee absolute security.

9. Cookies
This website uses cookies that are necessary for it to work. We may also use analytics tools that collect aggregated, anonymised information about how visitors use the site, so that we can improve it. Where we use any tracking tools that go beyond this, such as Google Analytics, we do so only with your consent, which you can give or decline through the cookie banner when you first visit the site. You can change your choice at any time by clearing your browser cookies and revisiting the site.

10. Your rights
Subject to applicable law, you may have the right to:

• ask what personal data we hold about you and obtain a copy
• ask us to correct inaccurate data
• ask us to delete your data
• object to or ask us to restrict our use of your data
• withdraw your consent at any time, where we rely on it
• ask for your data in a portable format

11. Complaints
If you are unhappy with how we have handled your data, please contact us first and we will try to resolve it. You may also complain to the relevant data protection authority. In the UAE this is the UAE Data Office or its successor. If you are in the UK, you may contact the Information Commissioner’s Office (ico.org.uk), and if you are in the EU, your local supervisory authority.

We may update this policy from time to time. Changes will be posted on this page with an updated date at the top.
